Yoga software is bought on four numbers, not on features
Feature lists in this category are close to identical — every platform books classes, sells packs and takes payments. The differences that decide the bill and the experience are elsewhere, and they are worth establishing before any demo.
The monthly subscription at your actual size, not the headline tier. Several platforms escalate steeply by staff count, location count or active-client count.
The payment processing rate. On a studio turning over RM40,000 a month, a difference of 1.5% is RM600 a month — usually larger than the subscription itself.
The cost of a branded app. It is commonly a paid add-on running from a few hundred to well over a thousand US dollars a year, and it is the single most misquoted line in studio software.
What happens to your class packs and member data if you leave. Prepaid packs are a liability you must be able to honour on another system.
The waitlist is the most commercially important feature you will not demo
A spot released two hours before a full 7am class is worth full price if the next person hears about it within minutes, and worth nothing if they hear about it at 9am. That makes auto-promotion — the place offered automatically to the next member with a time-boxed window before it passes on — the feature that most directly decides revenue per class.
It rarely gets demonstrated because it is undramatic. Ask instead for the specifics: how quickly is the next person notified, through which channel, how long do they have to accept, and does the system keep moving down the list without anyone at the studio touching it. A waitlist that requires a human to work through it is a list, not a waitlist.
Class packs, memberships and the churn signal
Studios usually sell both a ten-class pack and a monthly unlimited membership, and the two fail differently. A pack is prepaid capacity with an expiry, so it needs redemption and expiry tracking and represents an obligation until it is used or lapses. A membership is a recurring charge with a churn problem, so it needs reliable billing and, more importantly, an early-warning view.
The signal that predicts a cancellation is attendance frequency, not payment. A member who came three times a week in March and once in May will cancel in June, and the window to do something about it opened weeks before the failed renewal. A system that reports declining attendance per member gives you that window; one that reports only payments tells you after it is closed.
